The ExecTech Program is a 12-month personalized plan that is specific to your practice needs and goals. The program is all-inclusive, meaning all of your services are included for one flat fee. You are not charged by the hour nor asked to pay for extra services or consulting meetings during the year.

After receiving a complimentary practice analysis consultation, you will then receive a written proposal that outlines which of the following services will be included on your program:

1. In-Office Consulting Meetings

Your practice-management consultant travels to your location for meetings that last 2 to 5 hours. In some cases, your consultant may spend all day in your office to address your biggest issues and help you start implementing solutions.

Meeting with you in your office gives your consultant the opportunity to look at your facility, review your systems and watch you and your staff in action. Your consultant can meet with your spouse, your office manager and staff, with or without you. He or she can provide assistance and training for your staff, as well as find the underlying causes of your biggest problems.

Nothing is more effective than direct observation and interaction with your practice to provide you with the most help and the best advice possible.

2. Telephone Consulting

You and your consultant discuss your progress by telephone as scheduled and as needed. During that call, you and your consultant will review your statistics, your current issues and any difficulties you are facing with implementation of your solutions.

At the start of the program, the calls are generally longer, as you may have many issues to discuss. However, as you start making steady progress and your statistics start to rise, your calls will take less time. “OK, great! Let’s stick to the plan, and watch the numbers, and we’ll be right on target to reach our objectives.”

3. Mini-Programs

As a result of each consulting meeting, you and your consultant will work out a mini-program, or a list of action steps for you to take. These steps are designed to help you create the most amount of improvement with the time you have available.

You and your consultant will continue to work together until you create a mini-program that suits you best.

4. Management Tools Binder

You will receive over 850 pages of guidelines in the ExecTech Management Tools binder. The client material used in your consulting gives you step-by-step instructions on how to do virtually everything to manage your practice.

This material (provided by hardcopy and via online access) consists of 500+ guidelines and is divided into 16 sections:

In addition to your practice consultant, you also work with an ExecTech executive coach. He or she is trained on ExecTech’s system for training you on dozens of skills you need to reach your goals.

You will receive one coaching session per week by phone for 60 minutes. Your coach will work with you through a series of guidelines that train you on new people skills, dealing with difficult people, communication skills, improving your efficiency, management techniques, leadership skills and more.

You also will receive a Performance Coaching binder. This includes 320 pages of material that will be used in your coaching program.

6. Unlimited Calls, Texts and Emails to Your Consultant

You may call the consultant at any time without limitation. The program includes unlimited calls, texts and emails to your consultant and coach. No matter what is happening, your consultant and coach are there for you right away.

7. Staff Training WorkshopsStaff Workshops

Your ExecTech consultant may give you and your staff workshops in your office for 1-2 hours. Topics include:

  • Promoting the practice
  • Scheduling

The workshops include written guidelines for all who attend.

8. Material Created Specifically for You

Your consultant will help you create forms, office policies, bonus plans, announcements, patient letters, job ads, and so on. When it comes to creating your new and improved practice, you are never on your own.

9. Online Job Application Account for Hiring
A-Performer

Your consultant helps you tremendously with hiring and generating an abundance of applicants in today’s post-COVID world. In addition to writing hiring ads for you, your consultant will show you the top channels that currently work best in attracting the right candidates for your practice.

As an ExecTech client, you receive an account to use ExecTech’s Online Job Application system.

As you may know, all large companies and governments require candidates to fill out an application on the internet before they are granted an interview. Applicants like this approach as they can complete their applications, at their convenience, with no rush. They can gather their job history information, carefully read the legal notices and ensure their answers are accurate before submitting the application. They can also attach their resumes and photos.

You will also like ExecTech’s online application system as you can read the typed answers more easily than hand-written answers, quickly screen out unqualified applicants and only contact the gems for interviews.

In addition to the standard job application questions, applicants answer 10 pre-interview questions to help you spot potential A-Performers within seconds.

10. Statistical ManagementProfit Graph

An essential part of your ExecTech consulting is to carefully track your statistical changes. We do this with a weekly reporting line from your office to your consultant. As a minimum, your consultant will need your weekly new patients, production and collections.

Additional statistics may be needed on a temporary or permanent basis, such as production breakdowns of individual providers, over-the-counter collections, numbers of new patient from individual sources like referrals or web presence, etc..

Your consultant can then put your stats on a graph to see the correlations. For example, a drop in new patients causes a drop in production and collections within a few weeks.

The trend of your statistics acts as a planning guide. For example, when a statistic is rising, you find and strengthen the causes of the rise; you do not make big changes. However, when a statistic is dropping, you must make changes to quickly reverse the downtrend.

I used to feel like I was unable to motivate my team. My new patient numbers were down and my practice was stuck in a plateau. I then was referred to ExecTech by a trusted colleague. My consultant and I started to set goals each month. At first they seemed unreal but then I saw that we were reaching them and it kept us striving for more. Before working with ExecTech I worked hard to try to take my practice to the next level. I needed guidance on how to get more new patients and increase production. “Once I hired ExecTech that is when my practice really took off. I saw tremendous results right away and therefore continued working with them for seven consecutive years. We are in our fourth year of working with ExecTech and as the senior manager of our dental group, I have to say that our gains have been nothing short of phenomenal. Going through this program has been one of the best things that we have ever done in our practice in terms of goal attainment and practice morale. It has also significantly improved communication among our senior management team, which has made operating our organization far easier. Our staff retention has increased as a result of improvement in our management skills. In my opinion, ExecTech's approach to consulting is different than other practice management consulting groups that I have seen. Although I had my initial reservations, I can honestly say that I have reached milestones in my practice that I have never achieved before. I started the ExecTech program last July and I am very happy with the results that I have gotten. One thing that I really like about the program is the way that that my consultant and my coach have have helped me with hiring strategies. I am now hiring the right people for my practice, which makes management much easier than it was in the past. At the same time they helped me to improve my management skills, so that running my practice is now easier than it has ever been. I started my ExecTech program in November 2015. It is now June 2016 and I feel that this program is the best investment that I have ever made. I have been working with my consultant Mike and my coach Holley for eight months. My total collections during that time are 33 percent higher than they were during the same time period a year ago. My practice problems are being addressed by my consultant in a way that is crafted to the needs of my practice. My consultant has also worked with my staff to help them see how they can succeed in helping me to achieve my practice goals. He and I are also implementing systems into my practice that are helping me to better coordinate my staff in providing a superior patient experience in the office. I've been on the ExecTech consulting and coaching program for about seven months and I have seen substantial improvement in my practice during that time. My ExecTech consultant and coach have provided very personalized service based on the way that I want my practice to run.
